The job
Providing high-level administrative support to the Directors, Senior Managers and/or departments, enabling them to focus on strategic priorities, maximising their time and productivity.
Delivering flexible business support as needed, while working collaboratively within a team of Personal Assistants to ensure seamless service delivery and consistent coverage.
Key accountabilities
- Diary management for the Directors and Senior Leadership Team as required
- Extensive and efficient mail correspondence
- Prepare agendas, presentations and documents for meetings
- Clear and accurate typing up of all letters, memos, reports and similar documents from shorthand notes as well as audio typing as required
- Efficient minute taking (team and client meetings) and occasional transcribing of dictation and voice memos
- Support with legal and compliance matters
- Organisation of meetings, including booking venues, ordering catering and refreshments
- Arrange domestic and international travel, including transport, accommodation and visas, along with detailed itineraries
- Liaise with clients for meetings, presentations and reports
- Support with tenders/bid documents
- Document management and filing
- Process expenses, maintaining associated budgets and spend
- Conduct research on behalf of the Directors/Senior Leadership Team and produce clear, concise reports
- Facilitate smooth communication between leadership, stakeholders and various departments
- Visitor support and front of house coordination
- Ability to handle sensitive information with discretion and always maintain confidentiality
- Collaborate with other PAs to ensure consistent messaging and information flow
- Provide cross-over support during leave or high-demand periods
- Manage reception and responsibilities with the Business Operation team for lunch time/holiday/sickness cover
- Business operations and admin support for other functions as and when required
- Represent the department and company professionally in all interactions
Person specifications
Qualifications and experience
- Educated to A-Level or recognised equivalent
- Knowledge of the private medical insurance industry would be helpful, as would experience of working in a regulated industry
- Previous PA experience (2-3 years) essential

- Ability to adhere to strict deadlines

- Ability to take initiative, with a flair for problem solving
- Intermediate to advanced level of Microsoft Office Suite (Outlook, Excel, Word, Forms, PowerPoint, SharePoint) and the ability to quickly learn new software or systems
- Team player with the ability to work independently
- Ability to demonstrate aptitude and a can-do attitude
- Proactive in driving initiatives forward and effective in engaging with the leadership team to ensure progress
