Will you add admin support, bring in another practitioner, or expand your services? Then test each EPR system against your view of the future. Ask to see how it handles multiple users, permissions and shared workflows, not just a single-user setup. If it only works cleanly for one person, you’ll feel the limitations as your practice grows. 

Step 2. Assess how easy it is to record clinical notes in the EPR system 

This is where systems quietly win or lose – and one of the easiest ways to compare EPR software in practice. A strong electronic patient record system should make clinical note-taking fast and natural. In any demo, watch how notes are created, not just what they look like. How many clicks does it take? Can you make notes during a consultation without breaking your flow? Are there templates or care pathways that help guide documentation? If recording a note feels like a separate task, it will become one – and that’s where your time disappears. 

Step 3. Review how the software handles real tasks  

A record should help you act, not just store information. Ask to see how the system handles booking a review, creating a task, or passing info to admin. Does that action flow automatically from the patient record, or does someone need to remember it? This is where gaps appear in some EPR systems. Workflows may look fine in a demo but break down in practice. If tasks and follow-ups sit outside the system or rely on someone’s memory, things might get missed. 

Step 4. Check how well the EPR system connects your end-to-end workflow 

This is one of the biggest differences between EPR suppliers. Ask to see how scheduling, communication, prescribing and invoicing connect within a real workflow. Does information move between them automatically, or are you re-entering data in multiple places? In practice, this is where time is often lost. Switching between systems to complete a task creates daily friction. Many issues with EPR software come down to how well everything connects. 

Step 5. Check how security and access are managed in the software 

You’re buying long-term confidence. Ask how users access the system, how permissions work, and how actions are tracked. The key is whether security feels built in and easy to manage. A good EPR system should protect patient information without slowing your team down. 

Step 6. Make sure the EPR software gives you a clear view of what’s happening across your practice 

As your practice grows, visibility becomes essential. When comparing systems, take a look at how it shows you what needs doing, what’s overdue and where things might be slipping. If that isn’t clear, you’ll end up relying on instinct – which works until things get busy. 

Step 7. Find out about onboarding, training and support 

The demo is the easy part. What matters is how you move from your current setup to something that works. Ask what onboarding looks like in practice – how the system, is set up, how data is migrated, and what training is available. Also check what support looks like as your team grows. When practices switch systems, this can be where expectations don’t match reality – so it’s worth understanding upfront. 

When your diary works properly, everything feels easier. You’re not constantly reacting to changes or trying to squeeze things in. Instead, your day has structure, flow and a sense of control.
