The PPR

The Basic service

The PPR Basic service is available to all hospitals and allows you to:

  • Search a central database of all practitioners who hold a PPR profile and map practitioners you have granted practising privileges – they can then be used as the Controlling Specialist on your electronic invoices
  • See basic practitioner information
    • Name
    • Unique Healthcode reference number
    • Headline specialty/specialties
    • Regulatory/professional body registration date and membership reference number
    • Private practice information for your hospital:
      • Start date(s)
      • Type of care provided
      • Patients treated
      • Practice hours

The dashboard

Click the PPR tab which opens up your dashboard. If it’s the first time you’ve logged on, a splash screen will open – simply click Continue. From here you can see at a glance how many practitioners are currently listed as working with you and how many specialties these represent.

  • If you know exactly who you’re looking for, you can quickly search for them directly from the dashboard using as many of the search fields as you want to ensure you find the right person – the options available are:
    • Last name or first name (use the arrow to change between the two)
    • Facility reference: your refence number for them
    • Regulatory body ref.: their unique regulatory or professional body number
    • Profession
    • Specialty
    • Subspecialty
  • Click Continue
  • Any practitioners matching your criteria will be shown in the left-hand column – click on the one you want and the details will open on the right-hand side (see Viewing practitioner details for what you can see and do)

Clicking on View all > on the Practitioners card will take you directly to your Practitioner directory.

Practitioner directory

From here you can either search for an existing practitioner or, to send invoices electronically using the Clearing Service, you can map a new practitioner who’ll be listed as a Controlling Specialist on an invoice to your hospital.

  • Scroll through the whole list or use the features at the top of the left-hand column to narrow the search:
  1. You can sort your list by the first name from A-Z or Z-A
  2. Advanced Search – giving you all the search options detailed previously
  3. Simple search by First or Last Name
  • Any practitioners matching your criteria will be shown in the left-hand column and are already mapped – click on the one you want and the details will open on the right-hand side (see Viewing practitioner details for more details on what you can see and do)
  • If no practitioners are found you’ll be given the options of going back to the dashboard, searching again (remember to clear your filters) or adding a new practitioner – just click what you want

Add a practitioner

  • As well as clicking through from a failed search, if you know the practitioner isn’t on your list just click Add new practitioner + from the top of the left-hand column of the Practitioner directory
  • The Add practitioner card will open
  • Add as many options as you can to narrow the search and click Search or press Enter– this’ll look at all the practitioners on our system and may take some time
  • Practitioners matching your criteria will be shown in the Search Result box on the right – click the Add button next to the one you want
  • Another card will appear – some fields will already be pre-populated and can’t be changed
    • SP Number – the practitioner’s unique Healthcode reference number
    • Reg. Body Reference – the practitioner’s regulatory/professional body registration number
    • Hospital Name – your site name
  • You can now add the following information:
    • Facility reference – this is the only mandatory field and a unique entry must be set by you, following any any required hospital convention rules, to allow electronic invoicing for hospital services where the practitioner is named as the Controlling Specialist Note: the reference can only contain letters and numbers to a maximum of 10 characters
    • The following can be completed by you if you know the details or you can leave this for the practitioner to complete – they’ll get an email asking them to log into their profile and complete the missing information:
      • Start date – this is the date the practitioner was granted practising privileges or first saw a patient at your hospital
      • End date – this should be left blank
      • Patients treated – the age groups of patients that the practitioner can see at your hospital
      • Type of care provided – the care settings
      • Practice hours – the practitioner’s availability at your hospital
  • Click Add – the practitioner will be added to your directory and their details will be visible on the right-hand side
  • If you have more practitioners to add click Add new practitioner + again and repeat these steps
  • To get back to the dashboard, click Dashboard on the top-right of the screen

Viewing practitioner details

Look for a practitioner using the steps either directly from the dashboard or from your Practitioner directory. After highlighting the chosen practitioner their details will appear on the right-hand viewing pane and you’ll see the following information:

  • Profession(s)
  • Specialty(-ies)
  • Sex
  • View Profile – this is function is only available to the hospitals who have Pro
  • Regulatory body certified – clicking on this will show the practitioner’s regulatory/professional body and their registration number
  • Location – this lists your hospital and the date the practitioner started practising at the site (if you’re logging in as a hospital group, you’ll see all the sites where the practitioner has been added)
  • Facility reference – this is the unique reference assigned by your hospital
  • Notes history – see any notes that your hospital has added

Updating practitioner details

  • Find the practitioner by completing the steps shown in Viewing practitioner details
  • Click the pencil icon on your hospital’s card in Location box to show the current details
  • You can update the following if needed:
    • Patients treated – add or remove options from the drop-down menu
    • Type of care provided – add or remove options from the drop-down menu
    • Practice hours – update days, sessions and frequency
  • Click Update to save your changes
  • To get back to the dashboard, click Dashboard on the top-right of the screen

The practitioner will get an email informing them you’ve altered their practice information. They can, if they choose to, update this again.

Adding a Note

  • Find the practitioner by completing the steps shown in Viewing practitioner details
  • Click Add on the right-hand side of the Notes history card
  • Type in your note – you have a maximum of 1,000 characters
  • Click Add notes
  • The note will appear in full with the name of the person who added it, the date and time – any further notes are added in descending order i.e. the oldest note is at the top of the list Note: you can’t amend or delete a note

Adding a Facility Reference

  • Find the practitioner by completing the steps shown in Viewing practitioner details
  • Click Add on the right-hand side of the Facility reference card
  • Add a unique reference into the box, following any required hospital convention rules – if the reference is already in use you will see a warning message
  • Click Add
  • To get back to the dashboard, click Dashboard on the top-right of the screen

Deleting a Facility Reference

  • Find the practitioner by completing the steps shown in Viewing practitioner details
  • You can delete a reference by clicking the cross on the relevant card Note: at least one facility reference is required
  • To get back to the dashboard, click Dashboard on the top-right of the screen

Removing a practitioner

You should remove a practitioner from your list if they no longer see patients at your hospital. Before doing anything, first make sure that there aren’t any more electronic invoices to be submitted showing them as the Controlling Specialist – if you remove the practitioner and then try to submit, the invoice will fail validation.

  • Find the practitioner by completing the steps shown in Viewing practitioner details
  • Click the pencil icon on your hospital’s card in Location box to show the current details
  • Add an End Date
  • Click Update – the Practice information will change to show the start and end dates
  • Click Save on the bottom right of the screen – both the Facility Reference and Practice information will be removed from the profile and you’ll no longer find the practitioner in your directory
  • To get back to the landing page click Advanced Search in the top right of the screen, then Clear Search
