Remittances
Search by Insurer/Payor
Click the Billing tab, Insurer Feedback and then Remittances 2.0. If the splash screen appears, you can choose Don’t show me this again or simply click Continue.
You’ll automatically land on Search by Insurer/Payor. This is the main section of Remittances 2.0 where you’ll access your remittances – you can choose to view these either from a specific insurer or all of them.

If you’re on standard, you’ll have access to your remittances for 6 months from the date of issue – this is extended to 18 months for Pro users.
Pro users also have access to Advanced Search. More details on what that does is found here.
Viewing a list of remittances
Click on an insurer logo or click View all remittances – a list of remittances will show on screen with info in the following columns:
- Provider name
- Date Created – the date the insurer created the remittance
- Date Paid – the date the money went into your account
- Amount Paid
- Total Invoices – the number of invoices this remittance covers
- Exported (Pro) – an indication of whether the remittance has already been exported
You can sort on any column by clicking the heading but be aware that if you have lots of remittances this will take some time and it’s probably better to use the filters.
Pro users can click on the filter button at the top right of the page and use the following to help find specific remittances:
- Provider
- Date Created
- Date Paid
- Amount Paid – choose from Equal to, Greater than or Less than
- Tick to hide already exported remittances
- Tick to only show remittances with a shortfall
Once you’ve made your choice, click Apply to bring up the results. The button will indicate when a filter has been applied. To clear, simply click it again and then click Reset.

Viewing a specific remittance
Click on a remittance to get a detailed view. Basic info is at the top of the page, which’ll be different for each insurer depending on what data they support, but could include the insurer’s payment reference, the payment method, the bank details (if the payment was BACS) and relevant dates. The headline figures are clearly visible, showing the total invoiced, the total shortfall and the amount paid.

Info about each record (invoice) held within the remittance is listed below in the following columns, with the total number of records indicated in the top left of the pane:
- Invoice Number
- Patient Name
- Membership Number
- Invoice Date
- Hospital Number – the identifier
- Insurer Bill Number
- Collection Service
- Paid Amount
- Invoice Total
- Previous Paid Amount
- Total Shortfall Amount
- Shortfall Reason
If there’s a shortfall, you can click View shortfall reasons to give you the text provided by the insurer.
Pro users can adjust the order of these columns by clicking on the Manage Columns button and dragging items up or down, which changes the column order from left to right.
The first column is always frozen in place. Your choice will remain until you change it again, or you can click Set default to revert.
You can also use powerful filter options to drill into the detail of the remittance, allowing you to easily find the info you’re looking for – especially useful if you have multiple invoices listed:
- Patient Name – all or part of the patient’s name e.g. “steph” will bring up all the Stephen, Stephens, Stephenson surnames, but also all the Stephen, Stephanie, Stephan first names etc.
- Hospital Number
- Membership Number
- Insurer Bill Number
- Invoice Number
- Invoice Date
- Invoice Total – choose from Equal to, Greater than or Less than
- Paid Amount – choose from Equal to, Greater than or Less than
- Tick to only show the remittances with a shortfall
Exporting the data
For Pro users you can export the remittance data in multiple formats:
- CSV –two options, either summary or details
- Excel
- XML
- Legacy XML – for those who used this in the previous version
- FTP (on request)
…and in three ways:
- To export a single remittance from the list view, simply hover in the far-right column over Export to select your preferred format
- To export multiple remittances, tick the ones you want, then click Bulk Export in the top right corner, which zips individual files together in your preferred format
- When you’re viewing a remittance, click Export in the top right corner to select your preferred format
Click Proceed. Exports will run in the background and may take a few minutes for large files. You can continue working while the process completes. You can export the same remittance multiple times in different formats, if needed.
On the list view, a tick will appear next to any remittances you’ve exported. When ready, your exports will be available in the File Download section and you can find more details here.
Advanced Search
This Pro-only feature allows you to perform a powerful global search for specific remittances or items within them using the following filters:
- Insurer
- Date Created
- Invoice Number
- Date Paid
- Patient Name– all or part of the patient’s name e.g. “steph” will bring up all the Stephen, Stephens, Stephenson surnames, but also all the Stephen, Stephanie, Stephan first names etc.
- Insurer Payment Reference
- Membership Number
- Amount Paid – choose from Equal to, Greater than or Less than
- Tick to only show the remittances with a shortfall
Once you’ve made your choice, click Search or press the return key to bring up the results.
The filter button at the top of the list will indicate that a filter has been applied. To clear, simply click the button and then click Reset or click Advanced Search at the top of the screen to take you back to the filter. You can either add further filters to refine your search or click Reset to clear.
